AGM 2023: Join our Exec Committee!

Join us for our annual general meeting (AGM) on Friday 8th September. The AGM is a chance to have your say over the direction of the EnGRG for the coming year, and to stand for one of our executive committee positions. We are a friendly bunch and would love to welcome you on board the team.


Details on these positions and their associated responsibilities can be found below. If you have questions about a role, or if you would like to express your interest in standing for a position, please email us at: engrg.rgs@gmail.com.

The closing date for expressions of interest is Friday, August 25th, 5pm (BST).

Please note:

Everyone is welcome to attend our AGMs. Committee members do not have to be from a UK institution, and we encourage undergraduates, postgraduates, and early career researchers to stand for positions. The usual term for a committee position is three years for staff and one year for students (students can renew their role annually for a combined maximum of three years).



Available Positions - 2023


Chair

Description

The chair oversees the running of the research group and its objectives. They are expected to play a pro-active role in the life of the group, and ensure that the group works effectively for its members. The chair must be, or must become, a fellow of the RGS.

Responsibilities

  • Chair exec committee

  • Set targets and objectives for EnGRG

  • Organise guest speakers and oversee webinar series

  • Manage and host EnGRG activities

  • Ensure targets are achieved

  • Represent the EnGRG at bi-annual RGS Research Groups Sub-Committee meetings

  • Submit bi-annual reports on EnGRG activities

  • Mark student dissertations

  • Review and sign off on official documents

  • Where possible, attend sponsored RGS sessions

Term Duration

September 2023 to September 2026

Treasurer

Description

The treasurer oversees the finances of the EnGRG and ensures that the group operates responsibly, ethically, and transparently in its financial matters. The treasurer must be, or must become, a fellow of the RGS.

Responsibilities

  • Manage the research groups’ bank account. Review and report on any payments or deposits.

  • Oversee and sign off on expense claims and ensure transparency in financial reporting

  • Send a financial report to RGS by the 31st of October each year, included in which should be a photograph of a recent bank statement. A template for this can be found in the Research Groups’ Handbook. It should be sent to: rhed-1@rgs.org

  • Mark student dissertations

  • Represent the EnGRG, when needed, at bi-annual Research Groups Sub-Committee meetings

  • Assist in applications for funding for supporting EnGRG activities

  • Where possible, attend sponsored RGS sessions

  • Review and sign off on official documents, as needed

  • Where possible, attend sponsored RGS sessions

Term Duration

September 2023 to September 2026

Secretary

Description

The secretary oversees the scheduling of the executive committee meetings, collates the agenda, and keeps minutes of meetings. The secretary must be, or must become, a fellow of the RGS.

Responsibilities

  • Schedule exec committee meetings, including AGM

  • Collate and circulate the agenda for EnGRG meetings

  • Take and archive EnGRG meeting minutes

  • Monitor RGS communications and recirculate to exec members, if needed.

  • Send the minutes from the AGM and details of any committee changes to the RGS (rhed-1@rgs.org) by 31st October.

  • Represent the EnGRG, when needed, at bi-annual Research Groups Sub-Committee meetings

  • Periodically review the membership figures for the EnGRG.

  • Assist in applications for funding for supporting EnGRG activities

  • Mark student dissertations

  • Review and sign off on official documents, as needed

  • Where possible, attend sponsored RGS sessions

Communications Officer (Website and Twitter)


Description

One of the most important and integral roles on the executive committee team - we need someone who will help us promote the activities of our research group. ​This position is currently shared, and we are looking for someone to specifically help with managing the research group's website and Twitter accounts.

Responsibilities

  • Attend executive committee meetings

  • Liaise with the chair to identify communications strategies and needs

  • Publicise groups’ activities, awards and prizes, and available resources

  • Use Twitter, emails, etc. to notify members of meetings and crowd-source suggestions and contributions

  • Create and manage events listings for the EnGRG website

  • Book the RGS Zoom account for events

  • After recorded events, send out notifications over Twitter and email (egwg@jiscmail.ac.uk) informing people when the recordings are available, and where to find them

  • Send details of higher-profile activities to RGS, either directly over email or over Twitter.

  • Work to increase the equality, diversity and inclusivity of EnGRG activities

  • If necessary, participate in marking student dissertations and postgraduate papers

  • Where possible, attend sponsored RGS sessions

Term Duration

Minimum one year (ideally longer)

Awards Co-ordinator (Undergraduate Awards)


Description

This is an important job and a key way in which we can support undergraduates, postgraduates, and early career researchers in building their energy geographies careers.

Responsibilities

  • Attend executive committee meetings

  • Work with committee members to plan the awards offering provided by the EnGRG (undergraduate, masters, PhD)

  • Keep awards processes to schedule to ensure the timely advertisement, marking and announcement of awards

  • Convene with the communications officer to ensure that the awards are advertised across EnGRG channels – includes a blog post on the website, emails and Twitter

  • Think of ways to enhance engagement with our awards – beyond Russell Group universities, and beyond strictly geography departments

  • Notify the RGS when new applications for awards are opened (with description of award)

  • Allocate markers/judges for different awards

  • Plan and review the assessment criteria used to judge awards

  • Plan awards ceremony (if applicable)

  • Define and organise awards prizes – should not exceed a combined total of £150 per award category, and should ideally focus on helping to support applicants career progress in some way, or promote the field of energy geographies

  • Announce winners of dissertation prize, email them their feedback and certificates, including their supervisors in email.

  • Inform unsuccessful candidates of the outcome

  • Work to increase the equality, diversity and inclusivity of EnGRG activities

  • Participate in marking student dissertations and postgraduate papers

  • Where possible, attend sponsored RGS sessions

Early Career Researcher (ECR) Representative


Description

Supporting ECRs is a key part of the EnGRG's work. If you are an ECR and have ideas for how we can better support our ECRs, then get involved!

Responsbilities

  • Attend executive committee meetings

  • Promote interests of ECRs in research group meetings (potential to think of creative ways to engage and support ECRs within and through the groups’ activities)

  • Find ways to maintain connections with wider ECR community, and to canvas opinions

  • Collaborate with undergraduate and postgraduate representatives to plan events for building skills and showcasing ECR research (potentially including training workshops)

  • Communicate with communications officer to inform them of anything that needs promoting, or events that need RSVP pages made

  • Assist in the organisation and hosting of annual ‘energy frontiers’ sessions at the RGS annual conference

  • Work to increase the equality, diversity and inclusivity of EnGRG activities

  • Participate in marking student dissertations (and potentially other awards, if additional awards are subsequently offered by the EnGRG)

  • Where possible, attend sponsored RGS sessions

Minimum one year


Postgraduate Researcher (PGR) Representative

Description

Supporting postgraduate energy researchers is a key part of the EnGRG's work. If you are a postgrad and have ideas for how we can better support our postgrads, then get involved!

Responsibilities

  • Attend executive committee meetings

  • Promote interests of postgraduate researchers in research group meetings (potential to think of creative ways to engage and support postgraduates within and through the groups’ activities)

  • Maintain connection with wider postgraduate community through the RGS’s Postgraduate Forum and other channels

  • Collaborate with undergraduate and ECR representatives to plan events for building skills and showcasing PGR research.

  • Organise and host EnGRG PGR session(s) at the annual RGS Mid-Term Conference (usually in April)

  • Communicate with communications officer to inform them of anything that needs promoting, or events that need RSVP pages made

  • Participate in marking student dissertations (and potentially other awards, if additional awards are subsequently offered by the EnGRG)

  • Assist in the organisation and hosting of annual ‘energy frontiers’ sessions at the RGS annual conference

  • Work to increase the equality, diversity and inclusivity of EnGRG activities

  • Where possible, attend sponsored RGS sessions

  • Manage and award the bursaries for the mid-term conference (if, as a team, we decide to offer these bursaries again)

Undergraduate Researcher (UGR) Representative

Description

Supporting undergraduate energy researchers is a key part of the EnGRG's work. If you are an undergrad and have ideas for how we can better support our undergrads, then get involved!

Responsibilities

  • Attend executive committee meetings

  • Promote interests of undergraduate researchers in research group meetings (potential to think of creative ways to engage and support undergraduates within and through the groups’ activities)

  • Maintain connection with wider undergraduate community through the RGS’s Postgraduate Forum and other channels

  • Collaborate with undergraduate and PGR representatives to plan events for building skills and showcasing UGR research.

  • Communicate with communications officer to inform them of anything that needs promoting, or events that need RSVP pages made

  • Participate in marking student dissertations (and potentially other awards, if additional awards are subsequently offered by the EnGRG)

  • Assist in the organisation and hosting of annual ‘energy frontiers’ sessions at the RGS annual conference

  • Work to increase the equality, diversity and inclusivity of EnGRG activities

  • Where possible, attend sponsored RGS sessions

  • Manage and award the bursaries for the mid-term conference (if, as a team, we decide to offer these bursaries again)

General Committee Member

Description

The purpose of this role is to give people the opportunity to get involved more directly (but also more flexibly) with the running of the EnGRG.

Responsibilities

  • Attend executive committee meetings

  • Volunteer assistance as needed in EnGRG initiatives

  • Work to increase the equality, diversity and inclusivity of EnGRG activities

  • Assist in the organisation and hosting of annual ‘energy frontiers’ sessions at the RGS annual conference

  • Participate in marking student dissertations (and potentially other awards, if additional awards are subsequently offered by the EnGRG)

  • Where possible, attend sponsored RGS sessions
